Attendance

Coaches mark a batch from a phone with one tap per person. Admins see the whole academy.

Tap to mark: present, absent, late or away at a tournament. Every tap saves instantly.
Four groups: regular students, pro students (morning, afternoon and evening sessions), members and staff.
Visitors: add a student from another batch for a day, for a make-up or a visit.
Day lock: coaches mark today only, while admins can mark or correct any date.
Closed days respected: no marking on holidays, and closed days never count in percentages.
Attendance history: percentage per person, filtered by name, batch, time slot and period.
Absent in a row: see who has missed 3, 4, 5, 7 or 10 sessions running.
Batch changes handled: past marks keep the batch they were made in, so history stays true.

Staff attendance

Track your team as well as your players, and let staff see their own record.

Closures excluded: days the whole academy was closed are left out of totals.

Students, members and coaches

Register people once and everything else, from fees to attendance, follows.

Quick registration: name, date of birth, gender, parent details, batch, diet preference, weight, height, joining date and monthly fee.
Logins created for you: usernames are generated automatically, with a first-login password change.
Bulk import: bring people in from Excel or CSV and preview exactly what will happen before anything changes.
Export: download students, members, fees and enquiries as CSV.
Search and filter: by name, batch, sport and time slot, with sortable columns and page sizes.
Active, inactive or left: deactivate someone and fees stop, while history and past payments are kept.
Rejoin cleanly: choose what happens to old dues and set a rejoin date so months away are not billed.
Change batch or slot: moves are recorded with the date, reason and who made them.

Batches and courts

Set up your courts and batches once, and the day runs itself.

AdminCoach
Batches: a name, coach, assistant coaches, start and end time and days of the week.
Multiple courts per batch: tick every court a batch uses.
Courts: see the batches and members on each court.
Time slots for members: give each member a court and a playing slot.
Sport per batch: when an academy offers several sports, batches, courts and coaches carry a sport.
Live day view: today's batches show as upcoming, on now, done or closed.

Holidays and closures

Mark a closure once and every screen respects it.

Admin
Four kinds: festival, maintenance, tournament or other.
Date ranges: a single day or many days.
Who is closed: the whole academy, or only the batches and courts you choose.
Nobody is penalised: no attendance on closed days, and they are left out of percentages and reports.
Fix the past: add a closure for an earlier date to correct old percentages.

Slot bookings

Keep court time for lessons, maintenance and outside bookings.

Admin
Block a court: for a date and time, for maintenance, a private lesson or any ad-hoc booking.
Who it is for: name, phone and notes on every booking.
Walk-in payments: record money from outside parties, and see it under Fees as Slot bookings.

Enquiries

Never lose a walk-in or a call. Follow every lead until they join.

Admin
Log every lead: walk-in, website, phone or WhatsApp, interested in coaching or membership.
Pipeline: open, follow up, closed or converted.
Follow-up dates: an alert when a follow-up is due today or overdue.
Dated note history: every update is kept with who wrote it.
Website form: connect your website's enquiry form and leads land straight in the list.
Search, sort and export: find anyone by name or phone, and download to CSV.
